Would it be possible for RG to flag up if there is more than one booking on a particular date and time (even if for different practitioners)?

We only have one treatment room, but shared between five physio’s. And in our first week of using RG we’ve had a number of double bookings because bookings were made in the wrong physio’s name and so the room appeared open when someone new booked in online. Is there a possibility that single-venue clinics could have a system that flags up double bookings in this situation?

    Hi Tracy,

    Good timing on this one. We have just released bookable resources, which is built for exactly the situation you describe: one treatment room shared between several practitioners.

    Add the room once under Account, then Appointments, then the Resources tab, and set its quantity to 1.

    Then on each appointment type that uses the room, select it under Required resources.

    From then on the room is counted across the whole clinic rather than per physio. Once one booking has it for 9:00, that time stops being offered on everyone else’s booking page, so a client booking online cannot take it even if the first appointment went in under a different physio’s name. That is the part that was catching you out.

    One thing to be straight about: it prevents the clash rather than flagging it. There is no warning message, the time simply is not offered. So it solves the online booking side of what you describe, but it is not a report of conflicts.

    If a visible flag would still be useful for bookings your team makes by hand in the diary, say so and I will keep this post open for that part rather than closing it off.

      Thank you so much for responding. Yes, please, a flag up of a clash would be really useful if that is possible.

      With regard to the resource button. I can’t find one in my account. But I’m likely being a donut - where would I find it? It doesn’t appear on my appointments page?
