Show cancelled appointments
Could there be an easy way to view all cancelled appointments from the dashboard, as it’s difficult to know who was in a now empty gap from the dairy pages unless I can remember who was there? So maybe the option to see what was previously booked in to a slot? Thanks

Hi Carol, thanks for this.
There are two places cancelled appointments already show up, which may cover part of what you are after. In a client’s profile, under Appointments, you can filter to see past and cancelled appointments alongside upcoming ones.
And under Analytics, Appointments, Cancellations, the Cancellations Trend card has a View All button that opens a full list of cancelled appointments, showing the client, the practitioner, the appointment type, the time it was scheduled for and when it was cancelled. That list is the closest thing to what you describe, as it tells you who was booked into a slot that is now empty. What it does not do is show any of that on the diary itself, so an empty gap still looks like an ordinary free slot.
Before we take it further, could I ask a couple of things?
Would that list under Analytics be enough if it were easier to reach, or is the diary really where you want to see it? If it is the diary, would you want the cancelled booking shown in the slot itself, greyed out with the client’s name, or just a small marker you could click for the detail? And is it enough to know who was originally booked in, or do you also need to see who cancelled it and when?

Hi Cloudia, thank you. The details in the analytics is great. I’ve found that now. However, I do think a marker on the actual slot would be great as well if at all possible, as it would easily alert me to the fact that it was previously booked and has subsequently been cancelled. I could then check who it was.
The details on the clients notes are great to see what that clients history is but if I don’t know which client was booked in and cancelled, then I can’t find the details in there until I happen to open their notes again.
I don’t think the actual booking/client details would still need to be shown in the slot or greyed out as that may seem cluttered in a busy diary, but the idea of a little marker that could be clicked for details of client, and possibly when it was cancelled and by who, that would be perfect. Even if it just showed who was booked in, then the other details could be found from the analytics tab perhaps or link to that.
This might be a bit much, but if there was a way for the system to set a certain timescale eg 24hours before, that it could then (?red) flag so that it would be easy to see that this is a late cancellation (could this be personalised by the clinic as per their cancellation policy timescale in the same way as lead times/gaps etc)- this could show through the diary marker or just on the analytics or client record as it’s useful to quickly see which clients are persistent offenders!
I basically look at my diary some days and think hmmm, I’m sure there wasn’t a gap there before? In a busy clinic it would be great to check very quickly who it had been so I can follow it up and encourage rebooking or update their record if they don’t plan on returning.
